Why a Lettings Agent Performs Quarterly Property Inspections

Do you perform property inspections? As a property owner, you want to ensure that your house or apartment is in safe hands. If your property is managed by a letting agent, they should take the necessary measures to make sure that tenants are abiding by the terms of their agreement and keeping the property in good condition.

A letting agent takes care of rental payments, but they should also carry out regular inspections to check that everything is in order and provide the owner with peace of mind that their investment is in good shape.


The importance of letting agent property inspections


There are several reasons why letting agent property inspections are important for property owners.



The condition of the property

For the majority of property owners, the main role of the quarterly inspections is to check the condition and state of the property. After a tenant has signed an agreement, you want to ensure that they are upholding their end of the bargain and taking good care of the house or flat and haven’t damaged the property.

Often, it falls to tenants to report wear and tear issues, such as a damaged floor tile or a broken door, but you can’t always rely on them to provide the letting agent with that information.

Periodical inspections offer an opportunity to have a good look around, check if anything has changed since the last visit, and make sure that everything is as expected.



Spotting potential issues

When you own a property, you often come across minor issues, which have the potential to spiral into more complex, costly problems. If you’ve got damp patches on the bedroom wall, for example, this could indicate issues with the roof, which may not have been reported by your tenant.

An inspection will flag up problems, and this means that they can be addressed before they get any worse. Intervening early will save time, effort, and money. A fresh pair of eyes and a keen sense of smell can also make a difference.

If there is a smell of damp, for example, this may have been missed by the tenant because they’ve become accustomed to it. Routine checks can also flag up any major issues that have been reported, but not fixed.

If there was a minor leak highlighted in the last check, and it hasn’t been dealt with, the agent will know to address this is a priority.



As a property owner, you have a duty to provide a safe place for your tenants to live. There are certain requirements that you have to fulfil, for example, providing smoke alarms and carbon monoxide detectors. A quarterly inspection enables letting agents to check and test alarms on a regular basis.



Living conditions and agreement terms

Inspections, conducted at reasonable times,  are used to monitor the condition of the property, but they can also provide a useful insight into how the tenants live and whether they are adhering to the terms of the tenancy agreement.

If you’ve agreed to let out your flat to a single occupant, for example, and there are clearly two or more people living there, or there is evidence of illegal activities, an inspection will provide you with this information.

While it may not be legally viable to evict the tenant, the situation may impact the terms of the agreement you specify in the future or your decision whether or not to renew the current contract.


Building relationships with tenants

Some tenants sign long-term contracts and only get in touch with a letting agent when the boiler breaks or the washing machine stops working. As the owner, this may mean that you have somebody living in your property without having anything to do with them either directly or indirectly.

Quarterly letting agent inspections enable the agents who conduct the inspection to build a bond with the tenants, get to know them, and establish a relationship, which will benefit both the tenant and the landlord or landlady.

If tenants are familiar with faces and they’re happy with the way the property is managed, they may be more likely to report potential problems early, and also to stay in the property for longer.



Preparing for new tenants

If a tenancy agreement is coming to an end or when a tenant moves, and you’re looking for new occupants, carrying out an inspection is an excellent idea. Before you start showing people around, you can get an idea of how the house is looking, and what needs doing before new people move in. An inspection will also flag up any problems that may affect the existing tenant’s deposit.


If you own a property and you rent it out, property inspections can provide a useful insight into how well the house is being looked after by your tenants. You can also spot minor problems before they become more advanced and expensive to repair, and you can check-in with your tenants via the letting agent.
